1. CORE PRINCIPLES

When it comes to your personal information we believe in transparency, not surprises. So before we get into the details, we want to share with you a few of our core privacy principles. First, we don’t sell your personal information to anyone. It’s just not the type of business we’re in. Second, we don’t ask for your personal information unless we need it to provide or improve the Services for you. Third, we don’t share your personal information unless you’ve specifically allowed it, or for the very limited purposes described below. Finally, we appreciate that when you use our Services, you trust us with your information, and we take that responsibility very seriously. This Privacy Policy holds us accountable for protecting your rights and your privacy.

 

2. COLLECTION

When you use the Services, we collect the following information, and use it only as described below:

2.1. User Information. This may include your name, location, email address, phone number, how you heard about us, what enquiry you are making or service you are interested in. We use this information in the ways you would expect, to deal with your request or to contact you. With your permission, we may send you emails about our offers, new products and other updates.

2.2. Third Party Account Information. If you use Third Party Services, such as social media or photo-sharing services, and you engage with us using these, you may provide us with your Third Party Services account information, such as your username (note that we don’t store any passwords you use to access Third Party Services). We transmit, and may store, such account information, only as needed to provide the Services, and only in accordance with the terms and policies of the Third Party Services.

2.3. Payment Information. When you initially provide or update your payment information, we transmit it via an encrypted connection to our Payment Processor, Stripe. Stripe uses and processes your payment information in accordance with Stripe’s Privacy Policy. We don’t store your payment information, other than that which is required for billing and to comply with tax and other government regulations.

2.4. Communications With Us. When you send us emails or other communications, such as enquiry forms or enter competitions, we maintain those communications and their contents so that we can resolve your enquiries and assist you.

2.5. Feedback and Public Comments On The Services. We will retain any comments, contributions to discussions or messages submitted to users of our Services, this is stored anonymously, in order to provide and develop the Services.

2.6. Confidentiality. When you use the Services we provide, such as a Free 30min consultation, Live Programmes or 1:1 Coaching, we always operate within the code of ethics set by the British Psychological Society and International Coaching Federation.  The information you share is confidential (please refer to section 3.2 Disclosures). We will make and store anonymised notes, these are stored securely and password protected on Google Drive, and access is strictly controlled.

2.7. Usage Information. We do keep a record about your activity on and interaction with our Services, such as attendance to live programme or 1:1 sessions.

 

3. SHARING

When you use the Services, we may share your information only as described below:

3.1. Our online shop is hosted on Squarespace. They provide us with the online e-commerce platform that allows us to sell our products and services to you. Your data is stored through Squarespace’s data storage, databases and the general Squarespace application. For more insight, you may also want to read the Squarespace Terms of Service or Privacy Statement.

3.2. Disclosures. As outlined in section 2.6 the information you share when using our Services is confidential. There may be some instances where we may disclose your information to relevant third parties, these circumstances include:

    3.2.1. Consent. You have given us your explicit and specific consent for us to share something to best support you.

    3.2.2. Risk. If we determine there is a serious concern or an ongoing risk to your safety or the safety of others.

    3.2.3. Following The Law. We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to comply with the law, protect our rights or prevent fraud or abuse of Mind Set Match’s other users. When we receive law enforcement or national security requests for information, we strongly believe in privacy and transparency. We scrutinise such requests carefully and challenge vague or otherwise unlawful requests. And when legally permitted, we provide our users with notice that their information is being requested. This notice is provided so that you have the opportunity to challenge such requests.

3.3. Marketing. Our online marketing is managed through MailChimp. They provide us with the online communications platform that allows us to create, send, and manage emails and other information related to our Subscribers. Your data is stored on a secure MailChimp server. 3.4. Business Transfers. If we're involved in a reorganisation, merger, acquisition or sale of our assets, your information may be transferred as part of that deal. You would be notified.

 

4. PROTECTION

We store all user information in secure databases protected via a variety of industry-standard access controls. Secure passwords, SSL encryption, disk-based encryption, firewalls, and other measures are in place that helps us to protect your data. However, no company, including Squarespace, can fully eliminate security risks associated with the transmission of personal information through online transactions, and you do so at your own risk. Information that you submit through the Services may be transferred to countries other than where you live (for example, to servers in the US). Squarespace may also store information locally on the devices you use to access the Services. Payment information is transmitted using HTTPS encryption, and PCI DSS certification is in place and maintained. When you send an email, it bounces from server to server as it crosses the Internet. Along the way, server administrators can read what you send. Email is not built for confidential information. 

 

5. RETENTION 

We will retain your personal information for as long as we need it to provide you with the Services. You can unsubscribe from from our newsletter at anytime.  Your personal information is automatically deleted after a maximum of 12 months, unless you opt in again before December 31st or take out our annual membership. You can ask for your personal information to be deleted at any time by contacting us at hello@mindsetmatch.com. Please note that there may be latency in deleting your personal information from any third party servers and backup storage, and some personal information my be retained in order to comply with the law, protect our rights, resolve disputes or enforce our agreements.

 

6. ACCESS

To modify or delete the personal information you have provided to us, simply contact us at hello@mindsetmatch.com. On request, we can provide you with a copy of your personal information that we hold, within 30 days . This request may be subject to a fee not exceeding the prescribed fee permitted by law.

 

8. COMMUNICATIONS

We may periodically email you service-related announcements. We'll also send you emails related to your transactions. We may also send you marketing or promotional communications, you can opt out of receiving subsequent marketing or promotional communications by clicking the link marked unsubscribe that’s included in those communications.

 

9. BLOG AND MEMBERS GALLERY

If you post any Comments or User Content on the Website, you should be aware that any personally identifiable information you choose to provide there may be read, collected, or used by other users of the Website, as well as other third parties. We are not responsible for the information you choose to submit in these forums. We cannot guarantee that other users have not made copies of and/or will not use such information outside of the Website. We are not responsible for information you choose to post in this forum.

 

10. SOCIAL MEDIA

The Website provides users the opportunity to interact and post content through various social media sites including, but not limited to, Twitter, Facebook, Google+, Instagram and YouTube. Your interactions with such tools, and any information you provide in connection with these interactions are publicly viewable outside of the Website domain. Each social media site has its own privacy policies which may be more or less protective than this Policy. If you do not wish for this information to be disclosed, then you should not use these tools. We are not responsible for information you choose to post in this forum. Our site also includes Social Media Features, such as the Facebook button and Widgets, such as the Share this button or interactive mini-programs that run on our site. These Features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the Feature to function properly. Social Media Features and Widgets are either hosted by a third party or hosted directly on our Site. Your interactions with these Features are governed by the privacy policy of the company providing it.

 

11. COOKIES.

Mind Set Match’s online shop is built using Squarespace.com and Stripe.com, for more information on cookies that may be stored on your computer, please refer to the Squarespace privacy policy and the Stripe privacy policy.

 

12. AGE OF CONSENT

By using this site, you represent that you are at least the age of a legal adult in your locality of residence, or that you are the age of a legal adult in your locality of residence and you have given us your consent to allow any of your minor dependents to use this site.

 

13. CHANGES TO THIS PRIVACY POLICY

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
